As a Specialist in the Human Resources department, you will be responsible for creating a first impression of our organization in the minds of our visitors, vendors, and customers when receiving the public and handling inquiries from both internal and external customers. In doing so, the Human Resources Specialist promotes our warm, professional, service-oriented culture and helps our partners to see why this is a fantastic organization to be a part of. Our Human Resources Specialist also serves internal customers by coordinating company programs, employee, and management needs, as well as supporting the Human Resources team.

Strong communication skills are critical as well as any prior HRIS experience. You should be able to advocate for our employees as well as the company.  Ultimately, your goal is to provide timely adherence to and resolution of key Human Resources policies and procedures while handling sensitive and confidential information.



Other stuff we like:



•    High School Diploma or equivalent is required. 

•    Associate or Bachelor’s degree, or currently pursuing a degree is preferred.

•    Minimum two to three years’ direct experience in human resources and/or administration, preferably supporting an entire company with identified job duties as described below. 

•    Knowledge of and experience with employment laws and employment practices is a plus. 

•    Demonstrated excellent working knowledge of MS Word, MS Excel, and PowerPoint.  

•    Ability to quickly learn and work with multiple computer systems and records retention tools.

•    Working knowledge or demonstrated ability to learn HRIS and IVR systems.



More details on what you would be responsible for:



Receptionist



•    This job requires the ability to work in the office 5 days a week

•    Handling in-coming phone calls and greets visitor with empathy, care, and in a professional and timely manner. 

•    Assist with conference room scheduling and coordination of meetings including reservations, catering, and meeting set-up prior to the scheduled start time.

•    Assist with placing catering orders with appropriate vendors.  Admit caterers and coordinate getting them to the appropriate Gas South employee.

•    Order, track, and perform inventory of office supplies for the company. 

•    Maintain and keep up-to-date company directories such as the phone list, contact list, and organizational chart.

•    Work closely and provide back up to all the Executive Assistants to ensure consistent and smooth functioning of company business. 

•    Support the on-boarding process of new employees by ordering office nameplates, business cards, coordinating parking, etc.

•    Assist the Executive Assistants with special projects including coordination, documentation, support, and execution.

•    Notify HR of any work-related accidents or injuries.

•    Create, document, and distribute Recognition and Volunteer awards. 

•    Assist with all new access badge requests and partner with IT to ensure access points are all verified.

•    Autonomously complete administrative duties and functions in a timely, thorough, and accurate manner.

•    Order/Update office nameplates, business cards, coordinate parking, etc. as needed.



Day to Day:

•    Assist in scheduling company events, coordinating facility and technology needs.

•    Accurately composes correspondence, reports, and other company material.

•    Handles returned customer mail, equipment, badges and assists with resolution.

•    Performs basic record keeping tasks including scanning, saving, and labeling files.

•    Offers ad hoc administrative support to management and the Human Resources department.

•    Responds to inquiries from employees, customers, vendors and visitors with empathy and care, and refers to the appropriate person, official or department.

•    Serves as a point of contact to employees regarding misplaced items, guest badges, and vending machine reimbursements.

•    Assist in supporting various employee programs in accordance with company guidelines.

•    During the company transition period, this position will provide key support to the IT team in the Gainesville office with receiving and distributing company equipment.
